Description:

We are seeking a resourceful full-time Office Specialist skilled in delivering excellent internal and external customer service. We value a team player who has strong abilities to initiate and maintain collaborative working relationships with their peers, customers, officials and external partners. The ideal candidate will be a multi-tasker who prides themselves on problem-solving.

This position helps customers of all ages and backgrounds which requires exceptional organization and communication as well as a genuine wish to create experiences that matter.

Essential job duties include, but are not limited to:

Work with Strategic Initiatives Librarians and Public Information Coordinator in support of the City of Chesapeake's Strategic Plan:

  • Assist with planning, coordination, and implementation of special events and projects.
  • Support Library Administration, library managers, library committees, and external partners to comply with project timelines, contract and agreement expectations, publicity requirements and deadlines.
  • Schedule, attend, and take minutes of meetings, answer routine correspondence on behalf of Strategic Initiatives independently.
  • Process, submit, and monitor expenditures for assigned areas of responsibility.
  • Assist with writing, submitting reports, and monitor compliance with grants.
Support Library Administration:
  • Engage with other departments, clients/customers, and the public by telephone, email or in person; provide information, direct individuals to appropriate personnel, take and relay messages, or receive, log, and process complaints.
  • Perform data entry, file, fax, telephone, photocopy, scan, and/or process mail; assist with daily operations as directed.

Required Qualifications
VOCATIONAL / EDUCATIONAL REQUIREMENT :
Requires a high school diploma or GED and any combination of education and experience equivalent to satisfactory completion of one year of college education in word processing, secretarial skills, or a closely related field.

EXPERIENCE REQUIREMENT :
In addition to satisfying the vocational/education standards, this class requires a minimum of one year of full-time equivalent experience in administrative support.

SPECIAL CERTIFICATIONS AND LICENSES :
Requires valid driver's license and driving record in compliance with the City Driving Standards .

SPECIAL REQUIREMENTS :
Employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies.
Emergency operations support work and work locations may be outside of normal job duties.

Preferred Qualifications
Must be proficient with Microsoft Office to include Word, PowerPoint, Excel, and Outlook.

Experience with MS Teams, Canva, online calendar, and room booking platforms are a plus.
