Description:

PGS Worldwide is seeking a Program Management Administrative Assistant in Norfolk, VA for a one year contract-to-hire role supporting a leading aerospace & defense company. This role supports a Program Management Office (PMO) by providing administrative coordination, maintaining accurate project records, and enabling clear communication across internal, external, and corporate stakeholders in a fast-paced environment with shifting priorities and deadlines.

Required Skills

  • High school diploma or equivalent
  • 3+ years of administrative experience, preferably in a project management, business, or executive support role
  • Experience working in a fast-paced, dynamic environment with multiple priorities and deadlines
  • Excellent organizational, time management, and written/verbal communication skills
  • Proactive, flexible, and able to work independently with minimal supervision
  • Proficient in Microsoft Office Suite, including SharePoint, Excel (advanced), Word, PowerPoint, and Outlook
  • Strong attention to detail and accuracy
  • Ability to maintain confidentiality and handle sensitive information
  • Strong analytical and problem-solving skills
  • Ability to maintain accurate and up-to-date records, reports, and databases
Preferred Skills
  • Shipyard or maritime industry experience
  • Experience with project management software (e.g., MS Project, Asana, Trello)
  • Familiarity with document management systems
  • Certification in project management (e.g., PMP, CAPM) or administrative assistance (e.g., Certified Administrative Professional)
  • Associate's or Bachelor's degree in Business Administration, Communications, or related field
What You'll Do
  • Provide administrative support to PMO/project stakeholders to keep projects running smoothly
  • Maintain accurate records, reports, and databases to support project execution
  • Facilitate communication among project managers, superintendents, schedulers, and other stakeholders
  • Support process improvement by helping resolve issues and improving workflows
  • Handle sensitive information with discretion and maintain confidentiality
