Your Role

The Parks and Recreation Lead Aide - Rental Operations and Event Support duties include, but not limited to:

Rental Operations/Facility Management

Assist with the set up and breakdown for rentals at indoor meeting and banquet facility in accordance with rental plans.

Assist with maintenance including but not limited to trash collection and disposal, custodial services including cleaning and restocking of restrooms and completing work orders requests.

Assist with scheduling and conducting onsite event/rental planning and logistics meetings at park facilities

Monitor event load ins and load outs for events and rentals at facilities within the park system.

Assist with the park system rental/reservation process. Including reservations of over 2000 annual shelter rentals, land use reservation, special use permits, event permits and wedding permits via phone, email and in-person interactions.

Special Event Operations

Assist the special events team with planning and preparation for scheduled events and ceremonies.

Operate and maintain various sized vehicles.

Provide manual labor for events and ceremonies to include set up and breakdown.

Assist in managing and maintaining equipment, cleanliness, and supply inventory.

Assist in coordinating deliveries of park system equipment and contractual equipment to park sites for various events and ceremonies within department and other city agencies.

Participate in scheduled meetings and mandatory meetings.

Work independently and in a team environment.

Enforce City policies, procedures, regulations and safety practices; assist with the investigation of accidents and incidents occurring within the facility and event/program and ensure corrective action is initiated as needed; coordinated with other City agencies and staff as needed.

Assist the permitting office with private rentals with load in and set up as needed.

Assist with unit outdoor programs as needed including but not limited to kayaking, nature-based programs, and camps, and environmental programs.

Customer Service and Communication

Collaborate within work unit to set goals and objectives

Work in a team environment

Develop and maintain strong internal communications and working relationships among department staff and external communications and working relationships with other City agencies and departments, citizens and customers.

Clerical/Data Entry/Computer

Operate office equipment including computer, scanner, fax, and copy machine to perform basic database, registration and accounting tasks.

Perform other job duties requiring skills, knowledge and physical requirements as demanded by those duties described or less. Individual assignments will be determined by the supervisor based on the current workloads and department needs.

Minimum Requirements:

MINIMUMS: High school diploma or GED, or must possess certification in a related field, and three (3) months of related experience and training which provides the required knowledge, skills, and abilities. Some locations may require a current and valid drivers license. SPECIAL REQUIREMENTS: May require operation of a motor vehicle to carry out assigned duties. Program staff may transport patrons. Schedules may vary to include work early mornings, days, evenings, weekends, holidays, and overtime when required to meet operational needs. Employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies. Individual location assignments will be determined by current department needs.

Special Instructions:

The individual selected for this position could be scheduled to the Parks and Recreation Administration Office, the Great Neck Pavilion and/or other park sites/facilities.
Must be able to work varied hours evenings, nights, holidays, and weekends in an outdoor environment in various weather conditions and for extended periods of time greater than 8 hours.
Schedules can be adjusted seasonally and will vary weekly based on programs, events, and facility coverage to include working in an outdoor environment in various weather conditions.
This position requires a current and valid driver's license to operate vehicles to completed job tasks.
Some assignments may require overtime or split shifts to cover operational needs.
Must be able to lift 50 pounds. Must be able to work in outdoor elements to include heat, rain, and snow. Must be able to stand/walk for prolonged periods of time.

P&R Connection
As a condition of employment, all part-time employees must attend P&R Connection (Department Orientation). If selected for the position, you will be provided your training date at the time of hire. Training is held from 8:30am-5:00pm, every other Friday, at the Parks & Recreation Administration Building. When an exemption is permittable, a hybrid version of the training is available, but will require training attendance on a weekend.

VRS Contribution: All full-time employees are required to contribute 5% of annual salary toward their retirement account; in accordance with VRS retirement provisions. This will be handled through a pre-tax payroll deduction.
