Front Desk Associates are the first point of contact for guests and employees and are critical in setting a positive tone for the organization.

Job Responsibilities of Front Desk Associates

  • Greet and assist visitors, clients, and staff in a courteous and professional manner
  • Answer and direct incoming phone calls using a multi-line phone system
  • Maintain front desk security and ensure all visitors sign in and follow procedures
  • Schedule appointments, meetings, and conference room use
  • Handle incoming and outgoing mail and deliveries
  • Provide administrative support such as data entry, filing, and document preparation
  • Keep the reception area tidy and well-organized
  • Other administrative and customer service tasks as assigned
  • Screen candidates calling in for work

Job Qualifications of Front Desk Associates
  • Proven experience in an administrative, receptionist, or customer service role
  • Excellent verbal and written communication skills
  • Strong organizational and multitasking abilities
  • Proficient with Microsoft Office Suite (Word, Excel, Outlook)
  • Professional appearance and demeanor
  • High school diploma or equivalent required
  • Ability to maintain confidentiality and demonstrate discretion

Working Conditions & Physical Requirements of Front Desk Associates
  • Typical office environment with prolonged periods of sitting and computer use
  • Regular communication with internal teams and external guests
  • Must be able to lift up to 15 lbs occasionally (e.g., supplies, packages)
